A typical reason that users see the same contacts being added to their follow up queues is that they don't have many contacts in the follow-up pipeline positions ("Contacted", "Needs Follow Up", "All Info Sent", and "Followed Up"). For instance, if your queue has 35 follow up spots to fill each week, and you only have 70 contacts in follow up position, you will see repeat contacts being added after the 2nd week of clicking Hilo My Week.
How follow-ups work:
When a new reach out is completed for a contact, they are automatically moved to a pipeline position of "Contacted". Once they are in the "Contacted" position, they will be considered eligible for follow up by the system.
Hilo My Week vs. Auto-Follow Ups:
An important difference between "Hilo My Week" and the auto-follow ups is that "Hilo My Week" is a manual process performed by the user whenever they want, and auto-follow ups are automatically added to the queues based on timing.
When a user clicks the "Hilo My Week" button, the system randomly chooses contacts to be added to the Goal Tracker queues based on the contact's pipeline position. The auto-follow ups set in the goal options screen are based on a contact's lead temp. They will be added to the follow-up queue as the contacts hit the parameters set by the user (i.e. 30 days for hot leads, 50 days for warm leads, etc.).
